How long does it take to hear back?
We aim to review and reply within 2 business days. You'll get one of three outcomes: accepted (with a link to our booking portal), rejected (your product isn't the right fit for us), or waitlisted (we like what you do, but your category is currently full, we'll bring you in if a spot opens up).
Once I'm approved, how does booking work?
You're approved as an Evo Events vendor and allocated a category based on your products. From there you can book any of our markets that suit you, first come first served. Vendors who book with us regularly, or bring something unique and in demand, can be upgraded to Diamond status, which comes with early access, booking discounts and more.
What if I'm not accepted straight away?
You don't need to reapply. If you're not accepted straight away, we keep your enquiry on file and review it as spaces open up or new events are added. If your product range or offering changes in the meantime, just reach out and ask for a review.
What is the cost for a stall?
We don't disclose stall pricing upfront, this keeps vendor applications genuine and serious. Once you're approved and have access to the booking portal, you'll see the exact pricing there, it varies by event, stall size and whether you need electricity.
Is there a deposit, and what if I can't attend after booking?
No separate deposit, full stall fee is paid upfront via the booking portal to secure your spot. Cancellations within 7 days of the event aren't refunded, and repeated cancellations can result in removal from the booking platform. If a market is cancelled due to weather, vendors receive a 50% credit towards their next event of their choosing.
What kind of products are you looking for?
Food vendors: we're always looking for unique twists and street food from around the world, guests want something new to try and sample. Craft/product vendors: we generally don't accept bought-and-resold products. We're looking for vendors who make their own products, have built their own brand, or are promoting something they've created. Bought-in components (packaging, raw materials, findings) are fine, the finished product just needs to genuinely be yours.
Can I sell a mix of handmade and bought-in items?
No, we don't accept stalls mixing your own handmade products with bought-in items for resale. Everything on your stall needs to be something you've made or created yourself.
How strict are you about duplicate categories and product listings?
We keep vendor numbers per category limited to avoid duplication on the night. We're also strict that what you list in your application is what you sell, bringing a different product on the day is treated as a serious issue and can affect your standing as a vendor.
What are the food safety and equipment restrictions?
Open flames aren't allowed, but gas cooking equipment is fine, provided you have proper fire safety equipment on your stall (fire extinguisher, fire blanket) suited to what you're cooking. Hot food can be sold. There are no restrictions on the type of food you offer, we simply limit how many vendors we take per category.
What certificates do I need as a food vendor?
At minimum you need a COA (Certificate of Acceptability) from the municipality where your business operates, this is a minimum requirement, not optional. Because each event can fall under a different municipality, some may ask for additional certificates, if that applies to your event we'll let you know exactly what's needed.
Do I need to bring my own equipment?
Yes. Spaces are provided empty, no equipment is supplied or available to rent from us. Events run on mixed surfaces (grass or concrete depending on the venue), so plan for both. Your info pack ahead of each event confirms exactly what to expect.
What size is a stall?
We currently offer 3m x 3m stalls for standard gazebo setups, and 6m x 4m for trailer setups. Other sizes can sometimes be accommodated on request.
What time do I need to arrive and set up?
Setup times vary by market, but as a general rule you need to be fully set up 1 hour before doors open, to allow time for safety inspections. Parking and offloading arrangements also vary by venue, both are confirmed in your info pack ahead of each event.
Will there be electricity?
We have a limited number of powered stalls, and in general we prefer vendors who don't require electricity. If you need power, it's on you to book a powered stall type through the booking portal, we don't manage this by request. If none are available for a given event, you'd need to pick a different date or set up without power. Unless you've booked and paid for a powered stall, there's zero access to power on-site, so come with fully charged equipment.
How many people attend, and do you handle marketing?
Attendance varies by market, but each event is permitted for up to 2,000 pax with the local municipality, so you can use that as a rough ceiling when planning stock. We handle marketing for the market as a whole, you're welcome to promote your own stall too, and vendors who've been with us across multiple events and tag us regularly can also get some of our marketing spend behind their posts for extra reach.
Will there be seating for customers?
Yes, Evo Events provides guest seating at all our markets, you don't need to bring your own.
Is there a vendor community, and who do I contact on the day?
Yes, there's a WhatsApp channel for active vendors on the booking portal. On the day, you'll be given an on-site contact in your event info pack for any issues.
